Board of Trustees Meeting Minutes
February 16, 2009, 7:00 p.m.
President Shawn Selch called the meeting to order at 7:00pm at the North Liberty City Council Chambers, 25 W. Cherry St.
Board members present were: Shawn Selch, Peggy Waters, Melissa Murphy, Shalome Tonelli, Matt Irving and Library Director Dee Crowner.
Approval of Agenda:
The agenda was approved as written.
Public Comment: Dee introduced the Practicum student who is in the Library Science program at the University of Iowa. Her name is Kate Johnson. The board members all introduced themselves.
Approval of Minutes:
A motion to approve the January minutes as written was made by Waters and seconded by Irving and approved unanimously.
Reports:
Budget – Jenny Garner:
We are on track for the year so far. The Insurance line will be increasing since Emily had her baby she will be going on the Library's family insurance instead of individual.
Dee was asked about why several line items were way out of alignment. Dee responded because they were put in the wrong place. Dee said that the items will be fixed but probably not until budget amendment time.
Youth and Teen Services – Andrew Frisbie:
Dee reported a change to the report. On the list of programs for March, the one on Wednesday, February 18th is supposed to be Melanie's favorites, instead of Andrew's favorites.
Last Thursday, February 12th, was his first Storytime in Swisher and he had about 40 kids. He will be going back next Thursday and will be going two Thursday's a month.
He showed the movie, "Igor", this afternoon and had about 15 kids attending.
March 6th he will be doing a recycling program for the toddlers. The rest of the programs will be worked around Spring Break. On March 16th will be make and take crafts. Dee thinks there will be different craft options laid out and you make what you want and take it home with you.
On March 17th he will be having another Game Day starting at 1:00pm.
On March 19th they will be showing the movie, "Beverly Hills Chihuahua" starting at 1:00pm, and March 20th will be a Lego program which will be from 1:00pm - 4:00pm so come and build legos.
Adult Services – Elaine Reitz:
Dee gathered that the adult Wii program was fun and everyone got lots of enjoyment out of watching all the adults doing the Wii boxing. There were 8 adults.
This Friday, February 20th is Family Night from 7:00pm - 8:30pm so come and play Wii games with us. She wasn't sure how many games they will have going.
The Last Tuesday of the Month book club will be on February 24th and this month they will discussing the book, "Rebecca."
A lot of people have been asking for another cake decorating class so Greta Reynolds will be holding another class on March 14th and that will be in the Community Center from 10:30 - noon. There will be a charge this time due to the cost of the supplies and Dee thinks it will be $5.00. There won't be a limit to the number of people who want to come but sign up will be required so they know how many supplies to have on hand and payment will be expected at the time class starts.
They are starting to discuss Summer Reading Program already. The theme this year will be, "Find Your Niche at the Library." The theme hasn't been quite decided yet for the teen and the kid's programs. But the kid's program will be done differently this year and the finale will be a carnival on the last Tuesday instead of the party on the Saturday after.
Assistant Director – Jennie Garner:
Jenny is on the North Liberty Safety Committee and she is busy editing the safety manual. She's also working with Blues and Barbeque which will be Memorial Day weekend.
They have started on a weeding project. It's been forced on them since they are running out of room on the shelves. Dee also talks about this in her report. They hope this will be done by June 1st before the Summer Reading Program starts on June 16th. A short discussion occurred on the possibility of finding storage for these books. Due to finding a proper storage facility with climate control and cost it was decided to just weed.
Director – Dee Crowner:
Dee asked if any of the Board members had tried the Investment Calculator that had been posted on the website. You just put in how many books, DVD, magazines or so forth that you have checked out and the calculator will tell you how much it would cost the city for your items. The State Library put a link on their website because they liked it so much.
She got a very good surprise. About four years ago the expansion coin jug was stolen and even though Nate chased them barefoot in the snow, they got away. Well, one of the thieves was arrested finally so the library received $443.77 back of the money that was stolen and it went right into the expansion account.
The updated Trustee Handbook was handed out to all Board members.
On new Board members, five applicants were interviewed before the meeting. The recommendations on selection will go to the Council for their first meeting in March.
Emily had her baby on Thursday, February 12th. She had a girl and they named her Adina.
There has been a significant increase in library usage, and the magazine area has gotten the greatest increase. So has internet usage. Also, holds are way up. She expects a need to have two people working on Sundays next year. There is an increase in library usage all over the country that is due to the economy.
Dee sent a note to the VISTA (Volunteers In Service to America) volunteer person in Iowa on the possibility of getting a volunteer for a year. They get a stipend of about $10,000 plus health insurance.
A library patron came in to the library and issued a challenge to all library staff and volunteers. For every pound of weight lost he will donate $250 to the expansion fund. He's retired from Quaker Oats so they will match the amount of whatever he donates. So pledge sheets will be put out to pledge so much money a pound. It starts March 1st and ends on September 1st. Any one interested, let her know.
CD racks were donated by Marion since they didn't need them any more. A couple guys from Parks Department went to get them and they are now installed in the library.
Dee has a Director's Roundtable in Marion on March 12th.
Friends
They are almost ready to start the membership drive. They should be out by the end of February. This month alone the Friends have agreed to purchase a new people counter since the other one went again, purchased two new scanning wands for the circulation desk and three sets of DVDs from the History Channel. Ones on the presidents, ones on the decades of the Twentieth Century and the other is on the ten greatest days in history.
Policy Review:
Long Range/5 Year Plan – Waters moved that the Long Range/5 Year Plan be approved with the suggested changes, Murphy seconded and approved unanimously.
Old Business:
Expansion Committee – Nothing to report. Dee guesses that after the Council get through the budget process that they may start doing something.
New Business:
None
Adjournment:
It was moved and seconded to adjourn and approved unanimously. The meeting was adjourned at 7:46pm.
