Board of Trustees Meeting Minutes
May 18, 2009, 7:00 p.m.

President Shawn Selch called the meeting to order at 7:00pm at the North Liberty City Council Chambers, 25 W. Cherry St.

Board members present were: Shawn Selch, Melissa Murphy, Shalome Tonelli, Peggy Waters, Cindy Diouf, John Henk and Library Director Dee Crowner.

Approval of Agenda:
None

Public Comment: None.

Approval of Minutes:
A motion to approve the April minutes as written was made by Diouf and seconded by Henk and approved unanimously.

Reports:

Budget – Jenny Garner:
We are on track for the year so far. The budget was amended.

Youth and Teen Services – Andrew Frisbie:
On May 9th was the tea party. It was fun to watch Andrew baking the tea cakes.

The kick-off for the Summer Reading Program will be May 19th at Hills Bank from 5:30pm to 7:00pm. This year the kids will be able to start reading as of May 17th, rather then waiting until the 2nd Tuesday in June. This will get Rage Graphics time to get all the t-shirts ready rather than being pressed to get them ready at the last minute. There won’t be a finale on the final Saturday this year. Instead, there will be a carnival on the last Tuesday.

The teen Summer Reading Program this year is “Get Your Game On At Your Library” and they are going to do game show themed programs.

There is a pilot program going on with other organizations in town. There have been fights between Penn Elementary and the Community Center. So an after school program has been started. They had the last meeting and all-in-all it has gone pretty well, taking into effect how fast this whole plan came about. If it is restarted in the fall, Andrew and Melanie are hoping for more outside agencies to have involvement also.

Adult Services – Elaine Reitz:
The theme for the Summary Reading Program this year will be, “Find Your Niche at the Library.” There will be one combined program with the teens and that will be a pottery class. The finale this year, which will be on July 21st, is a potluck since there is all adult participants.

Last year was the first year for a trivia night and the participants requested another, so there will be another trivia plus Elaine has always wanted to do a spelling bee, so there will be one of those for the Tuesday night programs.

The weeding is going well.

Assistant Director – Jennie Garner:
Jennie will be meeting with someone from Workforce Development, plus someone from the Corridor Business Journal regarding collaborating on a career station at the library. Hopefully it will be set up by July 1st. The actual usage logistics will be figured out before it’s up and running.

The 3rd Annual Blues and Barbeque is on Sunday, May 24th so everyone come out for food and fun!

Director – Dee Crowner:
Dee has applied to be on the East Central Library Service Area Board of Trustees. There are seven services areas in Iowa.

Dee is also chair of the Johnson County Library Association this year. This is a rotating position.

The weeding is going well and should be done by June 1st.

They are starting the informational meetings now for the expansion. There will also be two public meetings for residents of North Liberty and library patrons. The first one will be on May 28th at 7:00pm and the second one will be on June 6th at 11:00am at the Community Center. The casebook will be presented and there will be a question and answer period. PSAs have been sent out so the word is out to the public. This outreach also includes speaking at clubs and organization meetings.

WalMart volunteered to provide the food for the informational meetings to the businesses.

The annual book sale will be June 13th – 20th at the library. Since this is such a huge amount of books this year they will be selling them $2 a bag or $3 a box.

Bill Freeney from North Central Junior High let Dee know that the library will be getting two summer interns this year from North Central. This is a program that Bill started last year. This runs the same six weeks as the summer reading program.

Friends
Friends of the Library met on Wednesday, May 13th. They are doing well. There are 70 members this year.

Birdies for Charity will be starting.

Policy Review:
Gift/Donation Policy – Murphy moved and Diouf seconded that the Gift/Donation Policy be approved with the suggested changes and approved unanimously.

Computer Policy – Dee will make changes and this will be voted on at the next meeting.

Old Business:
Expansion Committee – Dee handed out the casebook for all board members to have a copy. She went through and explained the numbers and charts.

She already explained the informational meetings and the public meetings in the Director’s report.

New Business:
None

It was moved and seconded to adjourn and approved unanimously. The meeting was adjourned at approximately 7:58pm
